so the client web portal it is it is just another application so if you log in as a client that would be the thing you see that would be one of the few things you see we have this client portal where clients can do what you mentioned but we also have other functionality that are available to your clients such as being able to order supplies so if you send them collection kits and stuff we can we can order supplies and you can track that and you

can ship them supplies and you can put tracking numbers and so on the other thing is we can have we have application for your doctors to come in and sign rank forms right so let's say another place is the order 10 orders 50 orders in a day that the doctor can come back at the end of the day and sign them so you have the signature on your racks so you can actually do the building but I'm gonna focusing I'm going to focus on the order

ordering a result reporting right so this is the kind of web portal this is the very first thing that your clients will see on the new reports right so we have a few options here in terms of filtering and providing the data but the new reports allows them to see what's new from the land reports that they have an open reports they haven't seen right so it's an unread inbox per se right so here are all of my reports I can see that these are final

reports I can see that this is a preliminary report and I can see these are all file the reports so I can easily identify the ones that have different flags right so like this one has a critical flag this was the live flag as a critical result I have this flag to let you know and I can open this report and I can look so I have a I have 48 new reports I can go in and I can click on one of them and I

can I can open the PDF and see the actual result right so this bring this brings me the PDF I can print if I need to I can do whatever I want the template here is very it's very basic and part of our representation part of the cost that is included with the cost of the system is to build the report as you need to make sure your clients get the value and you provide your value added to your clients through the report so I'm not

gonna Focus too much on you know this report how it looks because most of the clients they have their own reports they've seen but it's easy to just get to it you come here you click if you need to see them all you can just select and you can you can download them all at once or you can and that would that will bring you up what it does it actually takes all of the Fourier reports it merges them all together so now you have a

big PDF let's say two pages by each report you're gonna have a 96 page PDF that you can easily print all at once or you can do whatever you want you can take them individually as well the other thing you can do you can go to the pending lab work and it shows you everything that is with the lab right so here I can see I can see everything that the lab has on yet approved I can see that these ones are active these ones are

new winning active means it was received by the lab as being processed and I can actually see that they received right here and these ones that are new they have not been received by the lab right so I can easily search for my patient I can see if you know did they receive or not where is where is the sample within the process and that you can actually see we have other statuses here technically which is Seattle status is if you have the result or you

don't have the results as a lab yet right so it gives them quick access to information and we don't need to call hey did you receive my sample obviously the system will tell you if it was received at where it was received we do have a different status that we can update for your clients to see if you want them to see a different status instead of active we have a so this is the status that is the same for the for the lab as well

but we have a client a portal status that we can update with other information that is just for your clients to see if you need to update that value at any point to give them more information we can swap them right so instead of having the status we can have that portal status where it gives them more information but it's the same for everybody all the users of the system the other thing that they the clients can do here they can do a batch order meaning

let's say it's a nursing home and they're going to test 200 of their patients for UTI every you know this today they can actually place you know easily within a couple of minutes 200 orders for those patients they can do a reorder so let's say they've ordered set of different panels last week for different patients they want to redo them the same way for the same patients today they can do a reorder so the difference between the batch ordering and the reorder is in the batch

ordering there every patient gets the same thing right you say Okay I want to do these panels UTI whatever on these 200 patients and that creates you know the reorder will take whatever patients you want and we'll reorder while hours or the last time for the different panels all right so it's a there is a slight difference between the two and then you can do a create order Creator acquisition which is creating one patient at a time so that's I'm gonna show you I'm gonna show

you that before that there are a few options here that they can they can do they can cancel orders so they can they can say well you know what they place these 10 orders by mistake I'm just gonna cancel them right because and they can cancel before it gets to the lab once it gets to the lab they got a call but they can they can cancel before you get to the lab they can reprie requisition for they can repre labels all of the things here

they can they can they can do fairly easy but I'm going to focus on creating a new order and this is for your doctors now the screen looks empty when you first open and it's because I am a user that I can place all the school multiple locations so I'm like a collector that goes to different sites but once I choose my side then I can see the order and the reason for that is we limit the order the options based on the size so you

can choose what you see what each of your clients get in terms of options you don't not every client needs to they can they can get the same thing that's not a problem but they don't they don't have to so you we need to know the site in order to determine what options they have and you can see here I have for example the molecular ID the toxicology the chemistry the look The obviously what you see at the top and what you see here it is

specific to your lab so I have a few options here molecular you can see some of them are collapsed by default so bacteria all of these are collapsed I can actually see what's under bacterial if I expect I can choose to have them expanded if I want right so this is just the way we set it up if I go to chemistry you can see everything is expanded so I can see all of the options right if I go to toxicology or toxicology it looks different

it doesn't look as good because we still need to work on it but it gives us ability to do it not only that you can have your instructions so whenever you see this Magenta in these two options you can actually have instructions for your clients or your collectors right they can you can put information please remember to do this don't forget to do that and whatever you can have those instructions not only that but let's say you're a collector or you're you're you're not you're a

nurse at a doctor's office and let's say for women you always wanted the same things right let's say you order the wellness panel you do the hormones and you do a cardio it's your kind of default to go to options so every female you do you gotta come here you gotta come select this one you gotta select this one you gotta select this all right so it's a little cumbersome especially if you do the same thing what you can do you can select them once and

create what is called a personalized menu option right so at that point you go it's already defined I have my female standard I probably should replace this female standard it's my female standard panel right so if I do this boom it selects them automatically so it gives me the option as a user as a doctor to have my own preferences or my own subset now for your for your patient you can choose search from an existing patient you can see when I select the patient I

have this magenta showing up we use the ecologists because it pops out with everything else and you can see the known icds for this patient what you've used in the past so you can reuse them or you can search from existing ways you can choose medication is not as relevant for anything except if you do PGX or toxicology that's where medication is important because it affects how you report it affects your report on toxicology but nothing else it doesn't it's not as important besides toxicology and

PGX now you've done that based on the selection I've selected all of those three patterns I need to have these three samples of the system tells me the samples that I need I can put a collection date for those I need the whole blood I need the serum I need the whole body in a different tube so I can I can put that information I can put that information in there I can put point of care results I can put documents comments everything that you need

to do and you don't you know you don't need to but the options are there and then I can just place the order when you try to place the order it'll give you a summary right it'll give you a summary of my options my patient information my samples here and the option to do to sign Disorder so you can sign the order if you're the doctor if you're logged in as a doctor or your flight the system as a delegate for the doctor right so that

you can have an agreement with the doctor saying hey this user is my delegate he or she can sign on my behalf if that's the user doing disorder they can place the they can they can sign here and put the signature on the rack for this way you have it signed for your reimbursements for your documentation it's there otherwise you the doctor can come in later like I said you know at the end of the day they go in 10 orders for you know 10 of

the patients like the ball inside so fairly easy to sign 50 or there's a hundred dollars in less than a period but they can it's good because they decide and you have that depending on the doctor you're agree with whatever you if you don't apply it automatically that if somebody needs to apply it manually and that's that's what I'm showing here but we can definitely put it automatically that's what for specific doctors or specific clients or specific issues that's how you that's how you place that's

how you place an order so let's say the order was placed now you print labels you put it on tubes or the sample you bring the right form it shows up in the lab we have now the left side of it the accessioning I'm gonna add it so I have access to everything a lot of applications here not just this quick double so the patient ready the patients where they can see all of the patients that I have I can search for a patient that I

can go and look at the patient information I can see all of the orders that have in place for that apply ordering where they can order supplies their own kids I need I need you to send me kids I need you to send me whatever you guys are providing to that's that's another option and then we have the signing option to sign or this ride where they'll see the pending queue for signing so that's also that's also available but this is on the extension this is

on the left side now this is the X your accessories in the lab so they can do they can do what they provide the scan in terms of placing an order if you get the orders electronically either to the portal like I showed you or let's say the Mr integration that all end up in the same spot in the successioning and they'll be depending queue I only have one I only place one order for me but everything that was placed electronically will show up in here

you can find so let's say you have a batch of 10 samples on your desk you gotta check the bid right you gotta receive the flag that you've received you can go in and just easily scan receive samples you scan sample by sample by sample you scan the 10 samples what it will do once you've ended up scanning them it will bring those 10 in this list like I have this one so now when I have my least that I scan I can I can do

multiple things here I can individually look at each one of them and look at the details right I can look at the all of the information about the patient I can look at what patterns were ordered I can look at the samples The Collection date I can look at point of care medication insurance information everything is available here including the benefits so if we turn on the integration with our benefits provider you can actually see what the patient coverage is right so what is their insurance

covering the full coverage right here in Texas so you can choose they're not covering for UTI you're not gonna do it right so you have that flexibility here instead of doing the test and finding later that hey the insurance is not covering right but that's really part of your process and how you handle that we have the tools here to support it either way but let's say everything looks good you don't need to change anything you just you double check the name you double check the

date of birth you double check some information you just say I'm not it's good now it changes from the new remember the status when you hit this complete or you do all 10 of the in one shot you do this complete now I love this the status from new to active and it's in the lab it updates the date received if you didn't put one with the date of receive of whatever you press this but so you know it was received at this day now it's

now it's in the lab right you can be pre-labels if you want to re-label some labs they relabel with a different number you can relabel you can you can do various things here a lot of we have a lot of options here you know change the collection the 18 batch or whatever pre-labels for all of them everything in here you can see it's it's a bash so whatever you select try to hear the same options should be available here for the individual for the individual records

so The Next Step would be in the results I'm going to quickly cover that so I'm gonna I'm gonna show you a little bit what happens at the end when you've received the results from the from the PCS you get the result file at the end with 96 samples 384. how many you run in terms of your plates you upload that and reprocess those results right so we can you can easily upload them from our upload button here at that point we take the results and

we do the interpretation of the result detected not the Tactical inconclusive in the turbulent whatever the formula tells us based on the amps called the city values and all of the all of the parameters that we can put in place right and we make that determination we also have a we create a result badge let me actually switch to my molecular here we were robotic locations so you can have we can support multiple Labs within the same system multiple locations but let's say you we have

a badge this is my Chrome Studio you can select that batch and now you'll see all of the samples within the patch this could be a badge that you've created with the plate all of that but it's it's the same batch at the end when you get the results so now I have I only have 11 samples in my on my batch and I can review the results and I can review the results in multiple ways for my course studio result file here I can look

at individual sample I can just expand this one and I can see all of the results for myself but I can see in the term they're not detective whatever the results were calculated for each of my each of my targets right so I have all of these results I can see I can I can modify them if I need to I can look at the I can do a preview of my report I can have that patient by patient again this is just a dummy template

a will be it will be your it would be your template we can do it two ways we can integrate with a third-party system that does that and we have company that we can recommend you to we work with our Stone but we work with others as well so it really it really depends on your preference it's a cost it's a quality of the report the service and all of that so we're not experts on that but we're experts in integrating with at getting the report

Clinical Lab Analytics Walkthrough

hello everybody I'm Gabriel Balint product manager for LIMSABC and today I'm going to show you our analytics that we have been working in the last few months and this lab operational analytics give good insights into how the lab is functioning and allows you to see any irregularities and to see different trends generally on how the analytics are unstructured at the top you will have a filtering criteria for each of the analytics that we have we have the turnarounder received rejected the volume the client delivery

and the screening was information the filtering criteria depending on the analytics will allow you to filter based on the department based on the client based on the client side on some analytics you can also filter based on the sample type in the service group and maybe the panel the other option you have here on the filtering area is you can see either the day view or demand view this allows you to be granular at specific days or just high level in the month the other thing

you can specify is the last day for the chart so the last date or month will correspond to the last bar chart on the different charts so all of the charge that show you multiple days or months will have the last day specify here in this in this section so if I switch to a monthly view I would be able to choose my last month and now I will be able to see on a monthly level on the right side here you have a quick numbers

for Denmark they will give you a specifically on the turnaround report will give you the work in progress this is how many samples have still not been finished how many have made the SLA how many were close to the SLA close to SLA means within 10 percent of the SLA so if you're getting close to the SLA of 24 hours close to SLA means within the last part of the 24 hours the last 10 percent and over SLA everything that is over 24 hours going specifically

on these charts the turnaround this is based on the month and the last month is May the first one shows you percentage so every day is the same because it's a hundred percent so it shows you how many were over the SLA and how many media SLA relative to their percentage whereas the one on the right side shows you actual volumes right so this shows me how many were meeting or how many did not meet the SLA based on the actual volume now one thing you

can do here you can actually click on these ledger so if I want to take out the ones that made the SLA I click and it will refresh both of my charts if I want to take the ones that are close to the SLA I can do that as well and now I have a very nice chart of how many I was over by SLA not only that I can actually take out the over the SLA and now this will give me how many samples I

still have in process so you can see in this case I have still five samples that were never approved from June of 20 22 and you can see all of that so this way even though it's a turnaround report you can easily see and make sure all of the samples are being released and every sample is being dealt with so if I switch back to my daily disk I actually can see at the day level where I miss to where the lab means to process certain

samples let me just put this back and scroll down this gives you a breakdown based on the panels so you can see at the panel level which panel takes a more so you can see in this one is my viral is doing good and then the unity tract infection takes most of the time so there is something wrong with the UTI maybe it requires some investigation the other thing you can get based on the filtering you actually get the data so now you can look at

the data and you can download the data if you need to do any more troubleshooting going into the receive rejected this shows you a breakdown very similar in terms of filtering like the turnaround report a breakdown on how many samples have been received by day in this case and how many samples have been not received and how many have been rejected so you can actually see the not received is a very good indication that samples were placed in the system orders were placed in the system

but they were never received so this gives you a breakdown based on the client so you can actually see maybe there is a client that is placing a lot of orders but not really sending the samples the same thing for rejected you will be able to see and this is empty because I have nothing rejected on 31st so if I switch to my 30 and then this will show me what will happen on May the 30th in terms of rejected so you can see Trends in

certain clients sending you samples in a condition that makes you reject those samples so it's good to identify problematic samples receive but you have to reject them and samples that have not really been received so maybe there is a career issue there is a some other type of issue that can be dealt with so samples collected from the patient do make it to the lab and the same thing you have the export to excel so you can analyze the data more or you can share the

data with clients the violin report very similar gives you a volume by different categories so it gives you the volume based on how many samples were collected how many samples were received and how many samples were approved with being the specified period so I'm looking at Daily View and my last name is May the 30th right here so this one gives you 100 View and it gives you by the sample by the client as well so you can analyze the data in different way this in

this case you have a way to actually filter based on the sample type and based on the surgery rule so you can be more granular the same way on all of the charts that we have you can take out different things and you can see your volume of approved in this case or if I want to see how many received then I can take everything out so it gives you a good data and the same thing you can export the data at the end one more

thing I want to mention is that you can always maximize the shot so if you want to take a look at this one in particular you can maximize it and then you can even download if you need to as an image to use it in different presentations for internal consumptions or client consumption and this is applicable to every chart the client delivery dashboard allows you to see how long it takes four samples to be received in the lab so this is more of a delivery turnaround

so from collection to receiving land if samples take longer from The Collection to the lab that affects the turnaround that affects the stability so you can easily see where the problems are very similar to the turnaround report it just gives a better breakdown of the different intervals so you can see how long it took which ones took less than six hours between 6 and 12 and 18 hours 12 and 24 and 48 and then here you get everything greater than two days to receive now we

also have this part where it shows you the volume right so this is actual numbers this is percentage but if you scroll down here I have a job breaking down a little a little bit more on the delivery so there are samples in the system that do more than seven days to be received and those are by clients so you can have a more analysis to see why it takes so long for certain clients to get the samples maybe it's a career issue maybe it's a

transport really a lot of things can affect how long it takes for the sample from collection to being received maybe your receipt maybe they're being received physically in the lab but they're not being received in the system so that affects what the system the system knows either way you can filter down the same way I mentioned if you're if you want to take certain things out and you can see more granular the values that you're interested in and you can also export the data to Excel

and you can analyze or share with your clients the screening versus configuration which is the last analytics here shows you for the toxicology specifically shows you a different comparisons between the positive results and the negative results and this will give you how many screening were positive versus how many were a negative and then it actually gives you the percentage from 100 and it gives you actual volumes and then the same thing for the confirmation you can get how many positives and how many negatives and you

actually have the different data here to look by the by the different tests that were done so this way you can look at the lab results and see if you're having an outstanding number of positives or a low number of positive confirmation versus screening confirmation and you can identify different issues with our new analytics we can also build new analytic custom analytics specific for the lab so if anybody is interested in any custom analytics that show based on the process in the lab and based on

Client Portal — Advanced Features for Ordering Clients

hello everybody Gabriel Balint here I'm a product manager for LIMSABC and I'm going to show you today a few Advanced features available to your clients in the client portal and some features related to that available to you and the accessioner so with that said let me start by showing you the reorder functionality that we have in the client portal so the reorder functionality allows your clients for the same patients to a place another order so let's say you're working with the clinic they have 20

patients every week they order the same thing for each patient the reorder would allow them to Simply go in select the patients that they want to reorder they can search by the patient name they can easily add those patients to the list and let me just add a few here and this will reorder them for this for patients whatever was ordered previously it will order them again and this is what each patient will get based on their previous order so I'm just gonna hit the order

and quickly I'm going to start processing each order at the time so as the system does it creates four new requisitions and those requisitions now once I hit the closed model and refresh grid will be available and there will be filter automatically by the system so the users can see those new orders so you can see here I have a urine and a wound I have a there's a pharyngeal sub and a urine and so on each patient gets different things based on what they had

previously so if I expand this one I can go to the samples I'm sorry to the panels and you can see that there is a UTI and there is a wound panels order on this particular patient and the new orders are filter automatically so the user can modify if the user needs to modify any of these new orders I'm just going to clear the selection here and I'm going to show you a few things in the individual order screen so if I go here to create

requisition it will allow me to pick my client site and based on this I have my compendium and there are a few things here I want to show first is the schedule collection date which allows you to schedule in advance a number of orders so if I want to retest for the next four weeks patient on a certain patient for let's say a wound I can choose my four days four days that I want to select I can go in then I have my four orders

displayed here and I can choose my wound and now I can have four requisitions with the schedule collection date of these updates specified here I'm just gonna undo this one I'm going to undo the womb here the other thing I want to show here is the personalized menu selection this allows the user to save a subset of panels so if the user Works if the client has a group of tests that they always order on specific patients they can create this personalized menu so the first

thing they would do let's say it's a UTI and a toxicology and a confirmation this would be UTI Plus stocks confirmation the user can create a personalized menu selection by just clicking on this plus right here and this would allow them to provide the name and every time they come back and they want to choose this personalized menu the system will check automatically the confirmation in this case and it will check the molecular as well automatically so every user can create their own options the other

thing I want to show is once I select the patient right here you have these two magenta colors showing up for the ICD and for the medication this will show the known icds for that patient and you can easily add them to the order the same thing for medication and if anything change you just say let's say Alprazolam is not longer prescribed that can be removed and something else can be added instead let's say Adderall the configuration here for Toxicology this section here is very specific

to toxicology and this section can be removed there are a lot of things here that can be removed or added on the left side so it's really up to each of our clients to decide what they want to have on this section of the screen the other thing I want to show are these panel Specific Instructions so you can see there is a magenta color right here next to the wound panel there is one next to the UTI as well and this would allow you to

put any information for your clients to be able to see if that's something if any panel has any kind of meaningful instructions that needed to be displayed to the user the other thing I want to show is on the sample types there are many cases especially in the molecular where you receive multiple samples of the same time wound would be a good example where you might receive multiple wound samples from different locations of the body so in this case I selected one I have my sample

showing up here I say it's collected by me I can say this is from the left arm and if I receive another sample if I need to collect another sample to send to the lab I can hit on the duplicate and now I have two samples let's say this is the right arm and let's say I want the third sample and this is the left leg I can have that so what happens in this case there will be three samples generating the system three different labels

and when you receive you can have three different set of results that will go on the report for each of these samples now once I go into the I hit save and I would want to go to the next screen which is a confirmation screen there are a few settings here that can be done on and off one is a authorization stable right here at the top and this is an acknowledgment that the user needs to select if the user hits confirm this statement they cannot

proceed without acknowling acknowledging that the their authorized to place the order the other check we do here is on the Insurance verification and if the insurance is not valid we can have a warning and an acknowledgment for the user we also do a Insurance we also do medical necessity check and if the order would not mean medical necessity a similar statement will show up for the user to agree also the doctor signature is available and the patient signature so patient signature can be collected with the

time of order placing so once I hit save this the system will bring will once I hit confirm the system will generate the requisition forms the labels for this new order so the label should come up on the screen and I will just move this to my other screen right here the rag form also shows up I'm gonna close this one and I'm gonna switch now to I'm gonna switch now to my internal row because I want to see how these samples will now be received

in the lab so if I go and I switch my role to admin and then I go to accessioning I will then go to receive samples and this brings up the receive sample screen now I'm going to take my Barcode Scanner and I'm going to start scanning this sample so I scan for example Gabriel Balint second sample Gabriel Balint and my clear sample real balance and you can see the samples are displayed in here if I scan another sample again it will give me a duplicate

that I've scanned this sample before so I scan I've searched for my sample and this should bring me my last order that I just placed in here quickly you can see that I have some errors on this requisition and I can also see the prescribed medication I can go to the details really quickly to show you a few things here in the samples tab now each sample was scanned and I just scanned them a second ago and it also records the time these samples were scanned

each sample were scanned at a few seconds apart the other thing based on this flag right here are the errors and this one shows me that the patient Insurance is not valid so this is something that needs to be needs to be handled while in the comment though is we can prevent clients from placing order orders if the insurance is not valid but that's really up to you to each of the labs to decide how they how this should be hand done I'm gonna switch back

to the I'm going to switch back to the external roll your client's role and I want to show you the error handling on there and so there is an external errors application here where they would be able to see the same problems right so if I go to my last one this one it shows me that the patient is not eligible the issuance is not valid I can look at the details so let's say the insurance was wrong I can double check the insurance in the

Mr system or whichever place and I can make that change I update the patient with the correct information and I can then just send the error the exception to the lab this will actually notify the lab that this was resolved and the lab can check confirm that it was resolved and closed the exception or you can as comments and you can adhere either insurers and that can be then also you can submit to resolve so that will go away from the queue right here it will

be available for the lab to check the error the other thing I want to show for your clients that is available in the portal is the supply order this is where clients can order Supply materials and in this application they can see the all of the orders that were previously placed the orders that had been completed as well so let's say I want to place a new order I can go in and I can choose my site I can choose the physician I want to order

this is not mandatory to have the physician and then for each of the materials available and configured in the system you can the client can choose the quantity so five of antibiotic it two small boxes 50 swap for wound Twan solves for urine and once you hit save a new order is created in the system and you can see the details of this order in the same time an email is being sent to the supply managers so whichever user is set up as a supply manager

will receive these orders in an email and they can manage this order in the supply management application available to them I think that's it thanks for watching and I will catch you in the next one thank you

Biorepository Module — Storage and Sample Location Tracking

A walkthrough of the biorepository module: defining freezers, rooms, racks, and storage boxes, scanning samples into box positions, tracking container types, and finding the exact location of any stored sample. Recorded on the earlier LIMSABC-branded interface.

hello everybody I'm Gabriel Balint product manager for LIMSABC and today I'm gonna go over the LIMSABC biorepository module the biorepository module allows you to store samples and track the location of every sample that you have in the lab the biorepository is allows you to store those samples and track the type of container those samples are if they're in different tubes or other type of containers that you can place a samples such as cups allows you to track where those containers tubes go in

which racks we call them storage boxes and then you can track where those storage boxes would go in the different locations that you have being freezers going into the different freezer rooms the buildings and so on limsi BC allows it to define a very configurable and flexible location system with that I'm going to switch to the application and I'm going to show some of the most basic configuration and then go into the actual biorepository so for the configuration LIMSABC allows you to restrict the

samples and the containers that those samples can go into and then it also allows to restrict the actual containers into our storage boxes they can go this is so you can avoid misplacing samples in the wrong place and then taking it a little further we can restrict those storage boxes in what storage devices that they can go so that means it helps you avoid storing for examples cassettes with slides in freezers right or storing samples plus samples that are supposed to go in the freezer storing

them at the room temperature so with that I'm going to go first into the material application and show you some of the configuration we have there I'm gonna start and looking for the sample containers the sample containers are pretty much the dipole tubes that the sample can go into now I'm saying tools for blood and leakage but can be any type of container where you can put the samples in right so in this place in this way you can Define all of the different way samples

are being actually only together going into one of these let's say I go to the SSD in this one then you can see the different sample types that can be placed into this particular tube right so I can only put serum in this sample container if I go to Lavender tube I have more sample types here that I can place in the lavender tube I can put a blood the serum and a whole lot so this is the very first step the very first configuration having

the sample size having the sample containers in which those samples can go the next thing I'm gonna go to the storage boxes and now show how the restrictions of those sample containers happens in which of these storage boxes they can go and I'm gonna go to the small box here and this is a 10 by 10 box but you can Define any kind of boxes any sizes that you have to actually be able to track the position of those tubes in the box so going to

the small box here I can define sample containers that can go into this box and can also specify in which location types this box can go into and I'm gonna show you quickly how to define these location types but this is a configuration to specify that hey a blast sample can go into a lavender tube 11 the two can go into a small box and a small box can be stored in different location types so you have those restrictions and those checks and imbalances to make

sure you don't store the samples in a proper way going to the location types this is where you define the different types of locations you have so here I have the freezers the building the minus 80 freezers room shelves racks and so on and this is something that you can add whatever structure you have in the lab that's fine we can definitely support that you also have an icon and this will help you identify that in biorepository and on these locations you can specify like I

mentioned what kind of boxes you can have so in my shelf on this particular location type I can actually store small transfer medium boxes and large boxes right so it helps you restrict and it helps you set it up so that the users don't accidentally make any mistakes now defining the actual locations it is pretty straightforward so we have these location types now going and defining the locations like I said it provides with a very flexible location and you can create any type of structure that

you have it can go from your lab which is this one in case to my freeze the room and then to the different freezer shelves and if we need to go to towers and so on all of that can be configured here and on each of these locations there are different parameters that you can set such as the who's the parent obviously let me go here on a shelf who's the parent which is in my freezer the name of it a type if it's storable meaning

you can actually Place samples directly you can play samples in this one like containers boxes and so on the capacity so this allows you to specify how many samples can go into this one zero means unlimited but you can restrict so then you can make sure you don't run over your capacity in transient this is designated for if you have a trucks or other vehicles where you can keep samples in transit the service group who owns this particular location station the temperature and the status of

it right and this is just informational for users to know and you can go as low as you need if I need to go in and add under the Shelf add additional Sub locations I can just add child level here and I can add location as well we have additional functionality to copy and clone location so if you define a freezer then you can copy you can clone it and have multiple freezers with the same strategy so you don't have to Define let's say you have

20 freezers you don't have to go one by one and create them you create one and then you clone and it's they're all identical just different names that's defining the location all of the location structure now going to be to the biorepository cell this is where you would actually see where the samples are located right so if I go to biorepository here it gives me the same kind of structure that I've seen before right with my freezers and my shelves and let me expand here nothing

under so it gives you it gives me that location I can click on each of these locations and I can find what's stored in there so if I go on shell5 I see all of the samples here stored if I go back to my room I get I get all of the samples that are in all of the freezers within this room I can easily search here by the samples IDs or the barcodes if needed I can actually have all of this information about the sample

stored in here so you can see the samples in those locations you can go into the details and see additional information if there are any documents you can see the analytical results if you have access to see the analytical results we also have a set of transactions here that we can perform on these samples and these transactions are configurable and if we need to we can build additional transactions such as Alicorn exploding the sample disposing the sample changing the custodian adjusting the volume and so on

all of these transactions are available to be performed some of them are also available to perform in batch such as disposing or pulling certain samples together one thing you can notice it will give you here the container but it also will give you the storage box and the sample is in so the storage box and the actual location so this is in this part this sample is in a box 1580 and position B3 right you can see the content of this box by just clicking it

and it will open but you can also manage the Box by doing the storage box option here and then just scanning the barcode of the box so let's say you want to place the sample you open the freezer or multiple samples you open the freezer you pick an empty box or a box that is not full then you can click on the storage box you can scan the box container barcode and then this way this will give you the box which in my case is a

5x5 it will give you information where the box is located right here and it will also give you the fill pattern for this box which is defined on the material in my case it's down and the cross so that means the sample will go down and then they will go across to be stored and it also allows me to scan additional samples and it tells me the next position available so if I scan a sample then it will tell me to store it in this location

which is B2 as my next one I can move samples around if I need to if the location is not correct I can save the position so now my location in my box is the same I can move the box to a different location so in that case the location of all of these samples is going to be changed and updated to the new location and I can just then just save this foreign that's pretty much generally and a high level overview of the biorepository obviously

there are some unfortunately like disposing I mentioned and initially this view shows everything without the samples that are disposed but if I want to see and I want to be able to search the samples that have been disposed I can go to all and now I can get all of the disposed samples that have been distracted any question reach out to our support team and they'll be happy to help you

our inventory management is a more I would say let's say basic meant to hey we don't have a full system and we can we can use it does some specific things that are related to the lab that would help in terms of tracking inventory aside so I have my demo system open here you guys should be able to see it we can Define the material types generally right so we can define a list of material types a list of materials all of that all of that

is fine in terms of the setup that we have when you define a specimen and you define the test and a panel we usually are able to Define collection and testing containers those are actually material materials right so if you define a collection container over for urine over cop let's say that is actually a material in our material list right so could be the eswa for that it's a sample container we have the swab is a is a material they're all they're all materials when it

comes to these collection kits and the way that helps us it helps us to work with them when it comes to the site inventory and when we receive samples right because when we receive a sample when the sample is accessible and then you receive it we know the collection container therefore we know it's a material and we can we know the number of those collection containers received and that helps with tracking the inventory aside so if I go in the client manager this these are all

of the clients we can do the what we call the supply monitoring for all of your clients so the supply monitor allows you to see for all of your sites and all of your materials to see how many how many how much inventory there is in stock how many were samples were received and how many keys were sent and obviously the in stock is just a math from your starting quantity your kits and minus your samples received and this math is done automatically and it allows

you to see how much in stock you have a client has for a specific material and this you can then send them more materials right so there are color coding based on the resupply threshold that you can sell for each client and each material where you can say hey if it's below 10 I need you to warn me so what it does if it's 10 or less it'll be red if it's 20 plus the threshold it will give you like an orange color so that way

you can see where you need to resupply and it's easy to resupply you can see you can see a history just expanding that particular so this is for Kathy's side and these are the swabs for RPP you can we can see how many we send and when so we can send we send 10 here we send 10 more here and therefore we send 20 we've received one sample therefore there are 19 and you can actually see the samples that have been received for that particular key

that material so here I can see that this requisition I received with the data was received it was received and I can see where the sample actually the status of the sample if it was resulted or not so that gives you that gives you a situation at the at each of the size so for those kids that are more expensive and you want to track you can you can actually track and clients can actually request supplies and when they request make a request for a supply

and you fulfill their request that will show up in this history here so you can it will calculate it and make sure it is being added to the total you can always send you can send more kids and record them that you've sent you can you can specify how many you've sent so let's say I send 100 it asks me to choose from the inventory and the particular inventory for that material because these are swaps for RPP it shows me how much I have in stock

I'm sending them a hundred it will show me how much left I will have in stock once I perform this action and I send it right so this way you can choose which inventory you're you're sending and make sure you have enough and you can if you're there and say here it says well I have 175 if you look on the shelf and you say well there's not 175 it's actually 200 you can adjust and you can say you know what I actually have 200 and

you can put a comment whatever you can say I received more right whatever reason now it will have the quantity so now I have 200 currently in stock I'm sending them 100 I am left with a hundred of these swamps for RPP so I showed you that here now because I am on the swap for RPP I can choose an inventory this is just an inventory number that you see here we just put the number to be like this so it would be it would be

whatever inventory barcode you have so you can actually use a gun to scan it if you're if you're there I'm not gonna I'm not gonna send them but that will update the inventory to 100 and 19 here so this is simple to manage it at the site I'm gonna go to the and show you how you can create these inventories obviously if you do the if you do the QuickBooks integration we talk about that will that will happen automatically but I mentioned to you we can

Define material types so these are the different types of materials qcs collection containers sample container storage boxes all of these you can Define as many material types as you want and we have this storable flag that means we can which is kind of wrong here but this is you know to flag that we can store samples in it and obviously you cannot store samples in a in a in a glove this would be more like four boxes and racks and things like that but you can

Define all of your all of the material types in here then in the materials you obviously Define the list of materials right so everything that can be a material this is where very granular with the different reagents with the different kids with the different collection containers but everything that you use so it's just a it's just a list of materials we have a warning level this is where we can set up emails to go out or periodic emails to go out to show you when you're

close to your warning level in terms of how much you have in stock right and then we also have a flag that you know tells us if clients can order them from the portal so if this is checked there is also a disclaimer that you can put there would allow your clients to select and place a supply order from the client Port all right so the way that works and I can show you that in a second they go they say I want 50 more kids

they select that and then your supply manager receives an email and they can go into the system and com say that they fulfilled that order and then it will put a tracking number and you'll you'll increase the inventory inside I'm going to show that in a second but that this is where we Define these materials and their properties units and so on so once you have all of this defined we do I'll show you the actual place where you manage these inventories and where you see

right so we have the inventory manager is pretty straightforward you have all of the locations and we can manage these locations right so could be if you have a sensor location or you have couple of labs each lab will have their own location and then you can Define you can go granular and B as you see here I have my Fort Lauderdale location we have a freezer room and we have a minus 80 freezer in that room right so however how much granular you want to

be with this location is really up to you it could be everything in one room you can go to the freezer level you can go to the Shelf level you can you can Define this these locations when you want to see an inventor in a specific location I know I have here I can just go to my molecular location okay I have here and this shows me all of the inventories I have I have in stock right so it shows me everything I can I can

I have the inventory ID I can search I can go in I can search by the things here that we have just from the quick search that you're you're familiar with from other applications we also have an advanced search here where you can search by different things by the law number by the location and so on so it gives you a more advanced search in terms of the materials and it gives you all of the properties the inventory it gives you the loan number the carrier

there was that was the purchase order if you need to so all of that information is available in here and you can you can actually register new inventory and these are the things you can you can post the material obviously let's say it's a it's a covid antigen kit you specify the location how many you have right one in each it's like a each one is an individual one right you can specify A Lot carry away Bill purchase order expiration date or open date so these

three Fields here they work some expirations start when you open the package rather than win a fixed date right so the expiration date is being calculated from the open day that's why you can say when you open it and then how many days after open date in how many days after the open date they will expire the status and here you specify how many you receive so if you receive 500 I'm not going to do 500 conditions way too many then coveted antigen kids and then

who owns the molecular owns them you want to print individual labels you don't want to print individual labels and this will create 10 covid antigen kits and now I have 10 antigen kits added into my bioprocessing here I can go and I can search for let me use this one I can go in and I can say antigen I can search all of my auntie Jen and this brings me the time that I created and I have I had one before right so they're they're in

the system now and I can use them that's gonna be the components here if you have a kid you can actually manage kits where you have inventories with inventories right so you have a kid with five tubes and so on we can track that as well to say this particular kid has this we used to use this a lot for and with other systems that we have for clinical trials where you actually send you track more the kids and the tubes inside the kit and you

receive them you need to be very granular their they're in the clinical trial space that's that's a high level the other thing is you can we have a feature here that you can check inventory across your different locations so if I'm let's say a in working in Detroit and we have another location in let's say Miami then you can check location you can check inventory at the location you can request them to ship your inventory from that place and then when you receive it that's so

that's this is you'll search for that and you'll request them to ship you and it's also can be used if you have a centralized location and they ship to the individual locations right so you have a main place where everything goes and then the labs will ask you for hey can I have 50 of these can I have a hundred of that this is an internal request right you already have it in stock in your central location and you're requesting it and your requesting and then

when you receive it you scan that you've received the inventory and you will just scan the inventory ideas when you've received them and specify where you place them so that's that's what these two functions are the order the check order and receive right this is where you would order internally
